Position Description

If you love engaging with high profile and challenging executive administration supporting the U.S. Department of Defense, Serco has a great opportunity for you! As the Executive Administration Support with Serco, you will provide support to the Office of the Assistant Secretary of Defense for Sustainment, Deputy Assistant Secretary of Defense for Product Support within their newly created Regional Sustainment Framework office located in the Pentagon. The organization’s mission is to provides oversight of program sustainment, affordability, and life cycle logistics for major weapon systems acquisition to ensure sustainability and supportability integration early in the acquisition process.

In this role, you will:

 

SES Support:

  • Manage day to day calendar. De-conflict calendar appointments and ensure proper protocols are followed when scheduling senior executive meetings.
  • Prepare a daily Read-Ahead package/binder for RSF meetings.
  • Coordinate and plan travel via the Defense Travel System (DTS) and prepare and file travel vouchers.
  • Prepare and compile work related travel material such as information papers, read-ahead, biographies, and background information for the SES travel destination.
  • Maintain an RSF action tracker. Track RSF actions and projects to ensure timely closure.
  • Prepare and manage correspondence packages using appropriate templates and use CATMS for coordination of the packages. This includes letters, information memorandums, action memorandums, read-aheads, Congressional reports, etc.)
  • Monitor and manage tasking of CATMS related actions.
  • Assist and facilitate allies and partner nation personnel visits to the Pentagon and DoD/Contractor facilities within the Washington D.C. National Capitol Region (NCR).
  • Facilitate the planning and coordination of local in-person, Virtual Teleconferencing (VTC) meetings, Secret VTCs, and Webinars.
  • Prepare and distribute meeting materials such as presentations, read-aheads, background papers for RSF related meetings.
  • Collaborate with the DASD(PS) Executive Secretary on calendars, travel, other related administrative functions.
  • Technical writing and graphics support for brochures, trifolds, and other material related to publishing of strategic messaging.

Qualifications

To be successful in this role, you will have:

  • 5+ years of relevant experience of executive administration experience.
  • Expertise with DoD communication and commercial software such as DoD’s Correspondence and Task Management System (CATMS), Microsoft Teams, Microsoft Word, Microsoft PowerPoint, Microsoft Excel, and Microsoft Outlook.
  • Experience engaging with senior level executive leadership and be familiar with international protocols when working with our allies and partner nations.
  • Bachelor’s degree required
    • A Master’s degree can be substituted for 2 years of experience.
    • Associates degree can be substituted for 7 years of experience
  • A active DoD Secret Clearance
  • Ability to obtain a Common Access Card (CAC)
  • U.S. Citizenship is required for this position.
  • Ability to travel up to 10%
