Position Description

Are you looking for an opportunity to contribute to the Navy’s surface ship readiness? At Serco, we are looking for the brightest, most innovative, and driven with an appetite for wrestling complex problems.  Serco is seeking a Senior Sr. Administrative Assistant to provide direct support to the Program Manager Surface Ship Readiness and Sustainment (PMS 443). This position will be seated in Washington D.C. with no teleworking.   

 

The Sr. Administrative Assistant supports the Program Manager (PM) and Deputy Program Manager (DPM) for the Surface Ship Readiness and Sustainment. The Executive Assistant's primary focus will be support toward the Manager and Program Staff and to maintain a close and responsive relationship with the Front Office.

 

In this role you will:

 

  • Maintain PM/DPM calendars.
  • Prepared travel packages including briefings and material required for PM on travel and meetings. 
  • Answer phones and take messages for PM/DPM.
  • Maintain FOU Muster list for PM/DPM/OM.
  • Request JPAS/VAR’s for all government personnel and maintain copies of requests in JPAS binder.
  • Check DON Tasker Log daily for due dates to ensure reminders are sent out and taskers are closed.
  • Maintain all trackers (correspondence, packages, taskers, etc.)Draft and prepare various government letters, notices, policies, correspondences, and presentations. 
  • Prepare and develop daily work schedule, forms, and procedures, as necessary.  Monitor and maintain supply inventory and orders / track delivery of new supplies as necessary. 
  • Receive, process, and maintain documents such as correspondence, travel checklist, NMCI requests and awards.
  • Maintain records, data, and statistic information on department activities and monitor project schedules for management. 
  • Prepare weekly/monthly research and data collection reports. 
  • Adhere to established administrative procedures and make recommendations to improve efficiency. 
  • Advise Program Manager and staff on current policies and procedures. 
  • Represent Program Office on both internal and external administrative matters.
  • Maintain up-to-date personnel contact lists and track personnel training requirements and completion. 

Qualifications

To be successful in this role, you must have the following:

 

  • An Active DoD Issued Secret Security Clearance at time of application.
  • A High School Diploma and up to 6 years directly related experience working in support of a Program Manager on a government contract.
  • Defense Travel System (DTS)
  • Joint Personnel Adjudication System (JPAS)
  • Transaction Online Processing System (TOPS)
  • Extensive familiarity with Navy correspondence 
  • Administrative experience at the Federal Government or Navy level.  
  • Strong computer skills, MS Office Suite and MS Teams.
  • Exceptional organizational skills.
  • Strong customer service orientation.

Preferred qualifications: 

  • Yeoman or Personnel Man rating
