Position Description

Serco is seeking a Sr Administrative Assistant to provide direct support to the Major Program Manager for the US Navy’s, Surface Training System Program Office (PMS 339).

 

PMS 339 leads all strategic program planning, policy, research and development, acquisition, technical insertion, and life-cycle management of the US Navy’s surface ship training platforms. PMS 339 interacts with OPNAV resource sponsors, NAVSEASYSCOM, Fleet and Training Stakeholders to ensure the viability of surface ship training, modernization, manpower, and readiness.

 

Your focus will be facilitating impactful administrative tasks and highly consequential engagements, on behalf of the Program Manager (PM), Deputy Program Manager (DPM), and Staff. You will work closely with our customer and other Serco teams to deliver quality administrative solutions. You will also provide close and responsive relationships with the SEA 21 Front Office.

 

In this role you will:

  • Maintain PM/DPM calendars and provide daily updates in written form.
  • Manage communication, access, and messaging on behalf of the PM/DPM.
  • Prepare travel packages including briefings and material required for the PM on travel and meetings. 
  • Schedule travel on behalf of the PM/DPM using the Defense Travel System (DTS)
  • Submit Defense Information Security System (DISS) requests for staff and maintain copies of requests.
  • Maintain contact information of personnel.
  • Maintain contact information of key Stakeholders on behalf of the PM/DPM.
  • Establish and maintain effective communication with internal and external stakeholders.
  • Safeguard Personally Identifiable information (PII) and Controlled Unclassified Information (CUI).
  • Review and monitor the Department of the Navy (DON) Tasker Log daily for suspense dates and manage responses to taskers.
  • Draft and prepare Navy Correspondence, including letters, notices, and policies.
  • Monitor staff work schedules and leave dates.
  • Track and maintain supply inventory and delivery of supplies.
  • Represent the PM/DPM on internal and external administrative matters.
  • Manage recurring and special engagements.
  • Apprise Staff and Stakeholders of PM/DPM engagements.

 

Qualifications

To be successful in this role, you must have:

  • An Active DoD Issued Secret security clearance at time of application.
  • A Bachelor’s Degree and 5 to 7 years of experience.
  • 2 years supervisory experience. 
  • Navy administrative experience.
  • Experience writing US Navy correspondence, awards, and emails.
  • Experience with the Defense Travel System (DTS)
  • Experience with the Defense Information Security System (DISS)
  • Superior computer skills, MS Office Suite, and MS Teams.
  • Flexibility with up to 10% travel.

Highly Desired skills:

  • Experience supporting a Major Program Manager, Senior Executive, General Officer, Flag Officer, or Chief Executive Officer.
  • Experience with Joint Personnel Adjudication System (JPAS)
  • Experience with Navy Financial Management Systems.
  • Experience as a Senior Navy Yeoman at the Flag Level.

In compliance with state and local laws regarding pay transparency, the salary for this role is $86,539.03 to $140,624.86 however, Serco considers several factors when extending an offer, including but not limited to, the role and associated responsibilities, a candidate's work experience, education/training, and key skills.,
